How to Use the "Publish Presentation" Group of the Time Savers Add-in for PowerPoint
Please note: Some changes may have been made to the Time Savers Add-in for PowerPoint since the making of this video.
The “Publish Presentation” group is part of the “TS Publish” tab (previously called “Time Savers 3”) of the Time Savers Add-in for PowerPoint.
The tools in this part of the Time Savers Add-in make it possible for you to:
- Quickly and easily create a reusable, dynamic product catalogue.
- Quickly and easily add credits for clipartists and font artists to your products.
- Export your presentation to PDF – including exporting a selection of slides from your presentation.
- Split your presentation into multiple PowerPoint files based on the sections in your presentation.
Create a reusable product catalogue/‘you may also like’ page:
- Add a product placeholder on the current slide.
- All selected shapes will be tagged as products.
- Check your product tags. All shapes that have been tagged as products will be outlined in red. They will also be numbered, and the placeholders will be numbered, so that you can see which product cover will be placed in each position.
- When you click the ‘Reset Products’ button, all product tags will be removed from your presentation.
- Auto-update
- Automatically update product images when creating PDFs.
- This will only work for product images added using the Time Savers Add-in Version 7.0 or later, and if the file path of the new version of the picture is exactly the same as the file path of the original picture.
Create a credits page:
- Add a credits placeholder on the current slide.
- All selected shapes will be tagged as credits.
- Check your credits tags. All shapes that have been tagged as credits will be outlined in red. They will also be numbered, and the placeholders will be numbered, so that you can see which credits badge will be placed in each position.
- When you click the ‘Reset Credits’ button, all credit tags will be removed from your presentation.
- Auto-update
- Automatically update credits images when creating PDFs.
- This will only work for credits images added using the Time Savers Add-in Version 7.0 or later, and if the file path of the new version of the picture is exactly the same as the file path of the original picture.
Transparent links:
- Quickly and easily add transparent shapes on top of all linked shapes in your presentation. The transparent shapes will be given the same links as the original shapes.
- The ‘Remove’ option in the drop-down menu will remove all transparent links you have added on top of your linked shapes using the transparent links function.
Export PDF:
- Quickly and easily export your presentation as a PDF.
- If you have product placeholders and product covers tagged, the product covers will be moved into position.
- Only links to URLs and specified slides will be preserved. Links to Next, Previous, First or Last slides will not be preserved.
- If you have selected the ‘Flatten PDF’ option in the ‘Flatten Presentation’ group, your presentation will automatically be flattened before it is exported as a PDF.
- If you are using a Mac the PDF will be saved to your desktop. You may be asked to grant permission to access the folder in order for the PDF to be saved there.
- If you are using a PC the PDF will be saved in 1 of 3 places:
- If your presentation file is not in a OneDrive synced folder, it will be saved in the same folder that your presentation is in.
- If your presentation is in a OneDrive synced folder, the add-in will save files to your desktop.
- In the event that you have moved your desktop folder into your One-Drive synced folder, the add-in will save files to your user profile folder. This folder is usually located in a ‘Users’ folder in the C Drive. I recommend copying your user profile folder and pasting it as a shortcut on your desktop for easy access.
Selected Slides:
- Export your selected slides only as a PDF.
Split PPT:
- Split your PowerPoint presentation into separate PPT files.
- Each section of your presentation will be saved as a new PPT file.
- The new PPT files will be named using this presentation’s name along with the section name.
